The ib-bank-systems GmbH (ibbs) is a common subsidiary of the InvestitionsBank Brandenburg and the InvestitionsBank Berlin. The principal function of the ibbs is the support and advancement of the IT-system called ABAKUS, which is used by both banks. The ABAKUS-system is already implemented in eight institutions in seven federal states. Approximately 60 employees are responsible for the good functioning of the IT-systems and for the development of further software.
The ib-bank systems GmbH came to the realization that they needed a consistent way of assigning tasks as well as an efficient way to manage projects. The company needed a central system that would allow them to keep control of how tasks were assigned as well as a way to organize the personel of the company. Additionally, the company needed a way to standardize and simply the way employees reported back about their tasks.
The following goals had to be accomplished:
- Support of all assignment management processes by using an appropriate software
- Improvement in following up offers and assignments
- Automation of scheduling
- Decentral and consistent time sheet
- Improvement of data quality
- Simplification of data supply
- Simplification of reporting and accountancy
- Introduction of a central and electronical resource planning for all employees (internal, external)
Once a project management guideline and a specification sheet were created, a software adapted to the specific needs of the company was need. The focus was placed on the planning, control and management of all projects. The required software had to be simple to use and time efficient, especially when it came to filling out time sheets and registration of proceedings.The administrative work for installation and maintenance of the system had to be controlled by a web-based application.
Based on Blue Ant 3.0, specific upgrades for the ib-bank-systems were conceived and created. Special focus was set on the integration of clients into the project management solution. Thus, clients of the ib-bank-systems could manage their own assignments with Blue Ant. Additionally, all previous data from the last 12 months had to be incorporated from different systems into Blue Ant. After incorporating all the specific requirements that the ib-bank systems needed in a new upgrade, the implementation of Blue Ant 3.1 started.
With the help of the ibbs project management guideline, the master data administration was installed in only a few hours. Shortly after, the installation, as well as the system customized system, was successfully completed and the system was operable. During the pilot phase, the migration of date from the old systems to the new system Blue Ant was able to take place. Since the pilot phase, 115 users have successfully been working with Blue Ant.
